Being a hotel, we are required to keep a lot of documentation for a long period of time. As you can imagine, doing so involves having ample storage and proper organization that, with time, becomes difficult to manage. Consentia assisted us in destroying documentation that was no longer required and digitizing and organizing all of our files, ensuring easy access to them whenever we needed.

Consentia was able to complete our project on time. Liz and Rod were extremely helpful in making sure our needs were taken care of. There were some minor changes along the way, and Liz was flexible in accommodating our changing needs.

The level of service they provided was fantastic. Our project was completed without a headache (which was a major win for us) and saved our team hours of work.

From my experience with Consentia for this project, all went smoothly. I would use them again in the future when we require similar work to be completed.

For what projects/services did your company hire Consentia Inc.?

Our company was moving from our office of 50+ years. We had records for over 100 years and we needed a company that would safely and securely destroy and dispose of the paper files that were no longer required.

How did you select this firm and what were the deciding factors?

Consentia gave a us an estimate that was inline with other companies. However their customer service was by far some of the best I have ever dealt with. They were polite and prompt. They offered full service and assistance for items that we didn't even think about. They are a great "one stop shop" from start to finish. Everything from boxes, to drop off, pick ups and wonderful employee interactions.

We had numerous records with personal information that we needed to be removed and destroyed to follow FOIP . Consentia came out gave an estimate. They then sent boxes for us to pack. They advised is how to get the most value in our packing. Once we were finished clearing they came out and picked all the items up. Never any issues and they worked with our non traditional business hours.

Our main main contact was Liz. She was great to deal with.

We were able to remove information that otherwise would have to have been stored and dealt with at our new location. We are completely in compliance with the FOIP process for non-profits thanks to Consentia's assistance.

Perfect. No issues with communications.

They were quick and efficient. Nothing was an issue

I would recommend them for any type of document service. I had nothing they could improve on based on our experiences.

I'm the Broker for Jaffer Realty Inc, a boutique real estate brokerage in Edmonton, Alberta.

We hired Consentia to digitize our real estate deal files to assist us in achieving full compliance with Real Estate Council of Alberta guidelines while reducing the amount of paper storage we required on site. Additionally, we worked with Consentia to identify opportunities to digitize our conveyancing process.

How did you select this firm and what were the deciding factors?

Consentia's reputation and experience with Records Management consulting led us to our decision. Consentia had extensive government experience and, given the requirement for compliance with regulations, we felt that they would be the best fit.

The Consentia team utilized our existing file system to replicate our paper process to ensure no data was lost. They utilized a unique scanning system to intelligently arrange and store files for simple retrieval and sharing with others. The Records Management consulting involved an exploration of process mapping and potential solutions to allow digital submission of documents from real estate agents in the field.

Our main point of contact was Rod Ford and Liz Carten, the Directors of Sales and Operations respectively.

Can you share any outcomes from the engagement that demonstrate progress or success?

We are far more comfortable with our compliance practices now than before and it is significantly easier to reconcile accounts and verify completion of files ahead of time. It has saved time but, more importantly, has ensured compliance.

How effective was the workflow between your team and theirs?

Liz kept the process extremely simple and ensured that we were informed at every step of the way on where our project was at, what deliverables we should be expecting, and the time period within which a particular file series would be complete.

What did you find most impressive or unique about this company?

They worked extremely hard to understand our needs and were extremely cognizant and comfortable of the compliance and regulatory requirements we had. If they had any questions they proactively found answers. We could press go on the next phase of our project tomorrow with few gaps.

Are there any areas for improvement or something they could have done differently?

Like most businesses staffing became a challenge but they managed us and our expectations as clients effectively.

Excellent. They did a good needs analysis and the based on this developed a simple project plan and the results met the agreed upon deliverables.

What did you find most impressive or unique about this company?

Customer service was excellent and the staff is very knowledgeable. There were more nuances to this then thought and we were thinking of doing it on our own. I’m glad we didn’t as we would have spent at least the same amount and still had the headache to deal with.

They missed their deadline by two days but on a 2 month project not a big deal.
