What challenge were you trying to address with OAKS LAB?

We needed a custom software solution. My co-founder and CTO knew what we wanted and how to build part of it, but he didn’t have the development experience for other parts of the platform. That’s where we leaned on OAKS LAB.

What was the scope of their involvement?

OAKS LAB developed a custom software solution for us using React.js and Node.js. I discussed what we needed with them, and they put together a development plan. They brought in developers to write the code and designers to create the UX/UI design. After that, we went through a testing period to ensure the platform was intuitive for users. The team also added new functionalities based on market feedback.

What is the team composition?

We worked with 9–12 people at any given time, including the product manager, designers, developers, and our lead engineer. The team flexed up and down depending on the project phase. For example, if we were doing a lot of backend development work, there were more engineers and fewer designers. As soon as we started to work on the UX/UI, more designers were involved.

Another CEO friend referred me to OAKS LAB, which he had used to build software for his company.

OAKS LAB enabled us to grow our customer base the way we wanted. The platform worked flawlessly, and we had no problems with it. OAKS LAB used cutting-edge technologies, so we got a very scalable system, which was important for our business.

How did OAKS LAB perform from a project management standpoint?

OAKS LAB did a great job. It was like having a team of people that I didn’t have to manage. They knew what they needed to do and were on top of everything. The team communicated very well and was always on time. They were very thoughtful about the approaches they took.

When there were problems that they foresaw, they didn’t just come to me with a problem. Instead, they presented the problem and 2–3 ways to solve it. Then, they made a recommendation for how to solve it. Overall, they helped us solve problems throughout the journey.

We had weekly meetings to discuss the updates and changes that needed to be made. The development process was very efficient, and I didn’t feel like there was a lot of wasted time. Everybody moved things forward quickly. We used Slack and Figma for communication and project management.

The whole team was excellent. OAKS LAB was a competent outsourced partner. Our CTO was very impressed with their knowledge of languages, approaches, and techniques.

No, we had a great experience.

If you have a clear concept of what you’re trying to do, you can hand it off to them, and they can build it for you. It gives you a lot of leverage when you’re trying to build things quickly but don’t have the technical resources in-house.

I hired OAKS LAB to help me build the MVP of my software platform.

SOLUTION

What was the scope of their involvement?

First, we had a number of collaboration sessions with OAKS LAB for them to dive deeper into what I was trying to build, why I was trying to build it, and the type of experience I wanted to deliver to the end customer. We really unpacked the full vision of the solution so that we could then break it down into small, individual components before start building it.

As for the technology stack, OAKS LAB used TypeScript as the main programming language. We also based the solution on the Google Cloud Platform and used React Native for mobile app development. Overall, they implemented quite a few solutions.

What is the team composition?

We worked with a project manager, a design lead, and a technical lead. The technical lead spent half of the time on the engineering side and the other half on leading the technical effort and defining the next steps. We also worked with a web engineer, a mobile engineer, and a QA engineer. Other teammates from OAKS LAB joined the project in a part-time capacity, such as the head of engineering, to make sure everything was good.

We worked together from April–August 2024. We might still have some ongoing work, but the majority of the project has been completed.

What challenge were you trying to address with OAKS LAB?

I was looking to work with a partner and team experienced enough to deal with the complex digital product that I was developing. The product is a digital platform that simplifies the administrative process after someone from your family passes away unexpectedly. The platform aims to automatize and ease the bureaucratic burden that a person has to deal with when a relative passes away. 

Our product is complex and highly focused on security with different layers. The platform focuses on connecting users with professionals such as government consultants and mental health professionals. 

SOLUTION

What was the scope of their involvement?

OAKS LAB supports the development of our web platform and will build a mobile app in the second release. OAKS LAB is my external development team and has helped create the product's user journey, MVP's scoping, and go-to-market strategy. The team has conducted in-depth interviews with users and designed and optimized the strategy of our Meta and Google marketing campaigns currently running in the US. 

OAKS LAB does comprehensive research and analyses competitors. The team also looks deeper into competitors' security and enables me to collaborate with security third parties. The team uses Java, Python, and AI architecture to build my MVP. 

What is the team composition?
I work with a dedicated team that includes Jake (CEO & Founder), Igor (Head of Product), Marek (Product Manager), a project manager, a designer, a business analyst, a financial analyst, and a product engineer, and two marketing specialist who help with campaigns. I'm mostly in contact with Marek, who is the project leader.

How did you come to work with OAKS LAB?

I knew about OAKS LAB because I was watching their work. Two years ago, I considered applying for an open CMO position they had. While working for a partner, I met Jake at a networking event where I met my past colleagues, a venture builder I used to work for. I had several meetings with Jake and immediately saw he was already helping me without any promise from my side. I also talked with the team's chief of innovation and CTO.

I did extensive due diligence on venture builders and couldn't find a relevant team to work with at first. I asked around, reviewed use cases, and had several interviews with owners of various companies. OAKS LAB came as the most experienced team among the two other service providers I was considering.

The team offered added value from the beginning by looking into how to connect me with other enterprise partners and investors, which was something that none of the other companies offered me. OAKS LAB was keen to work on my project and had experience building products with high-security layering.

Thanks to OAKS LAB, I now have good traction and have negotiated with investors, which I lacked before. We're pivoting to MVP scoping, which is very important after the market validation and was my key objective for this cooperation. The team runs a successful product, and I'm very happy with our MVP scope. 

OAKS LAB is patient with me. The team's professionalism is high, and I'm very happy. OAKS LAB has more on their mind than I have, providing an external point of view of the project. Each teammate does very well at different tasks.

How did OAKS LAB perform from a project management standpoint?
I meet with OAKS LAB in person two times a week. We also communicate daily in Slack and call each other for urgent matters. We discuss every week with OAKS LAB and analyze results every second day.

When I've worked with other agencies, I've felt that some teammates just want to do their job and receive an invoice. What did you find most impressive about them?

OAK'S LAB is very flexible, which is great for startups. They can up and downsize their team and understand when paying a bill is late by a few days. Basically, they understand the startup hustle and grind and are willing to work with them, which is great. I truly appreciate their flexibility.

Are there any areas they could improve?

The fact that we're working with OAK'S LAB for a second time proves that we really like their work. They've done a nice job of addressing feedback, so there's nothing I would have them change.

Talk to multiple firms, compare costs, and ensure to know your budget in advance. OAK'S LAB is not an inexpensive firm. They do super high-quality work, so they're not cheap. For me, they were the right balance of flexibility, cost-effectiveness, and work quality.

The project involved developing an interactive ai-generated coach in Slack that would provide human-like role plays. This required prompt engineering, development of a administrative portal, database management, technology architecture, and documentation.

Strong user feedback on the prototype version of our product. Clear roadmap for future product development, with a good understanding of what is possible with this technology.

OAK'S LAB did a wonderful job of delivering on time and, especially when additional things came up. They also communicated clearly about changes in timing. Their interactions with us as non-technical clients were phenomenal. We had clear sprint planning and goals, daily check-ins, and ongoing communication through Slack. During the couple of times there were bumps, they handled our concerns with impeccable professionalism. A truly amazing partner for a fledgling startup

I’m the CEO of Karus.ai, an AI-powered auto finance company.

What challenge were you trying to address with OAK’S LAB?

We wanted to make consumer auto loans more accessible to customers, so we engaged OAK’S LAB. 

SOLUTION

What was the scope of their involvement?

We needed OAK’S LAB to build frontend assets for our company. The goal was to deliver machine learning (ML) and AI-based credit risk models to financial services companies. To do that, we needed a software platform that was scalable and secure; it must also support complex financial visualizations such as loss curves and prepayment curves. 

Given those requirements, the team built our portal using React and developed a backend big enough to process tens of millions of data points. For our website, they initially revised our existing code but eventually redid the entire platform. They did it with SEO in mind, so we didn’t have to engage them separately for that. 

What is the team composition?

I worked with six teammates from OAK’S LAB, including Rupert (Product Manager). 

How did you come to work with OAK’S LAB?

We had five sister companies at our venture capital firm, and they used OAK’S LAB. I called the CEOs and asked them about their experiences with the team, and they all had great experiences. As a result, we decided to work with them, too.

Our engagement was from October 2022–June 2023.

What evidence can you share that demonstrates the impact of the engagement? 

OAK’S LAB helped us find our product-market fit and get to a point where we could close 10 enterprise customers. The team had a go-to-market focus with their technology build. We didn’t have a lot of bugs throughout the entire process even when we launched with big enterprise customers. We did have a few bugs here and there, but that was completely normal — the team was quick to fix them. 

How did OAK’S LAB perform from a project management standpoint?

They were decent at meeting deadlines. Their resources built the portal for scale, which was what we needed. We had daily meetings with them and communicated a lot. They used multiple platforms to manage the project, including Jira and Miro. 

What did you find most impressive about them?

The whole OAK’S LAB team — especially the product manager — truly dug in and got to know our business, which helped us gain revenue. Put another way, they were great at digging deep and understanding our business from a revenue model perspective. This ensured that whatever we built led to revenue. 

Are there any areas they could improve?

They could have more frequent product releases; they could do it every two weeks, for example.

OAK’S LAB is good when you treat them like a true partner and an extension of your existing business. The more you bring them up to speed on what drives revenue for your business, the more success you’re going to have with the team.
