I am a communications specialist at a global nonprofit addressing trafficking and slavery. I am the primary brand manager and relationship manager with Beyond Definition.

Our organization was in need of a brand refresh, from head to toe. Our website was not user friendly or equipped to handle the type of traffic we wanted to attract, our visual identity was clunky, and our color palette and design aesthetic was not representative of who we are. We hired Beyond Definition to help us reinvent ourselves across these mediums.

How did you select this vendor and what were the deciding factors?

We issued an RFP for these services, and received over 20 applications. Ultimately, we selected Beyond Definition because of their superior quality of work and experience working with mission-based organizations compared to other applicants.

Describe the project in detail and walk through the stages of the project.

We have been working with the Beyond Definition team for over two years. We started with a brand discovery phase, which culminated in a new brand guide and recommendations on illustration styles. This process involved multiple workshops and interviews with internal and external stakeholders. Our website process also started with a discovery phase, which culminated with a thorough strategy that advised on architecture, features and functions, and tone/voice of content.

We then worked together to design wireframes, page designs, and custom graphics. They worked with us all the way to launch and provided an authorship guide. The Beyond Definition team has worked with us on numerous collaterals, predominately research briefings. This process used the illustration style suggestions from the brand discovery, and involved a design layout proposal and two rounds of revisions.

Throughout our entire project, we've worked with at least 7 different members of the team, depending on our need at the time. This included both members of the senior leadership and core team members. We worked with Mark, Alex, Ashe, Jonah, Kate, Eliza, and Jen, most recently.

Can you share any outcomes from the project that demonstrate progress or success?

Our website is gorgeous, and we have received lots of positive feedback on it. It's got all the functionality we need as we grow. Our brand visual identity now matches the image we want to put out and finally, we have some attractive collateral that we share with important stakeholders like donors and government officials.

How effective was the workflow between your team and theirs?

Our workflow was fairly effective. Their team was good about asking for meetings and additional information or context when needed to clarify project goals and needs, and usually if there was an issue, it was from our side.

What did you find most impressive or unique about this company?

What has been most impressive to me about Beyond Definition is their adaptability and constant ability to work with changing deadlines and needs. They clearly value our long term relationship and it shows in how they work with us.

Are there any areas for improvement or something they could have done differently?

We always end up with beautiful products, but the billing and invoicing system could be a little more organized.

What challenge were you trying to address with Beyond Definition?

We worked with Beyond Definition for a client of ours. Our teams did the production work for that client’s magazine.

What was the scope of their involvement?

Our client's magazine is issued quarterly, and it goes out to all the members of that organization. Generally, we start working by having a video call with Beyond Definition’s designers and production team. During that call, we go over the articles that should receive a more intense design treatment. This is also where we do all the planning for each magazine issue.

For every issue, we upload content, articles, photos, figures, and other content on Basecamp. Then, Beyond Definition works on our longer-form feature articles, designing and putting them on the page using InDesign. The team then comes back to us for proofing; we check their outputs while they’re working on the shorter-form articles in the issue. 

Over the course of three weeks or so, we do the design and production for the entire magazine, which can be anywhere from 64–90 pages per issue. Every once in a while, we ask Beyond Definition to find good pictures for the articles. They then research and come up with images, and then our team chooses the best one.

What is the team composition?

For the latest issue of the magazine, we work with Stephani (Project Manager). Prior to working with her, we’ve also worked with Kate (Senior Account Executive). Apart from them, two designers and production people also collaborate with us, including Cecile (Senior Art Director) and Gretchen (Art Director). 

How did you come to work with Beyond Definition?

We found Beyond Definition through the former publication director of our client. Previously, our client’s business existed as a black-and-white journal. In 2009–2010, they decided to turn it into a colored magazine. At that time, we came on board to be a contract editorial team for our client. From there, their former publication director spoke with Beyond Definition, who were then brought to the table to work for us. 

How much have you invested with them?

We invest between $10,000–$11,000 per issue, covering the total design and production bill.

What is the status of this engagement?

We started working together in April 2010, and the partnership is ongoing.

What evidence can you share that demonstrates the impact of the engagement? 

Beyond Definition provides outstanding design work. They’re an award-winning firm, and they do a great job of presenting our materials as professionally as possible. Moreover, their team has been a good fit for us. By now, they already know what we want and what we don’t want to see. In turn, we know their strengths in terms of design. Simply put, we have a great relationship. In a way, we can already read each other’s minds.  

How did Beyond Definition perform from a project management standpoint?

Their project management is great. Stephani has just taken over as our point person — she’s only beginning to learn things — but she’s already done a great job with that. As a result, we have no complaints about their performance in the most recent issue of the magazine. 

In terms of project management tools, I use Excel and Word files for tracking everything. To communicate, we almost always use emails or Basecamp. Even when they send me a message through Basecamp, they still reach out to me via email. As a result, our communication is around 90% email and 10% Basecamp. 

What did you find most impressive about them?

Beyond Definition has done an excellent job for us over the years. I’ve worked with around 2–3 design firms in the past, and none of those firms have performed at a higher level than Beyond Definition. Simply put, their team is more competitive than the other firms that have worked with us.

Are there any areas they could improve?

The italics and bold calls for the articles have been a sticking point for us over the years. Simply put, words that should be bolded or italicized are stripped out of the articles when they come to production and design. The results are varied in terms of how acute the errors are. 

For context, our client is in the maritime and marine industry. Often, we cite the name of ships, boats, or any other naval vessel in italics. That’s important for naval architects and marine engineers. Whenever those people see the lack of italics and bolded names in the article, they call us, and when that happens 10–20 times on an issue, it’s incredibly annoying. We end up doing more work since we have to call Beyond Definition back to ask them to italicize certain names and words. 

To be fair, Beyond Definition has made an effort to fix this, though they’re likely doing it manually; they visually compare the Word version of the article to its InDesign version to spot words they should edit. This isn’t only time-consuming; it’s also fraught with the possibility of errors. This continues to be a sticking point, and I don’t know why they can’t solve it. That being said, it’s a relatively minor problem in the bigger scheme of things. 

Do you have any advice for potential customers?

Have all your ducks in a row before you engage Beyond Definition. That way, they can be more efficient in how they work via InDesign. As a client, you’ll also see the deliverable as one cohesive whole instead of several separate waves of proof pages.

I’m the president of Orases, a custom software development company based here in the USA. Our headquarters is located in Frederick, Maryland, and we have satellite offices in Houston, Chicago, and Denver.

We interviewed roughly six different companies, and we looked at the look and feel of their brands. In the end, we selected Beyond Definition over other vendors because the team was highly competent and had great character. What evidence can you share that demonstrates the impact of the engagement? 

Beyond Definition has been very helpful and professional. With their support, our business has grown about 150%. Additionally, their work has enabled our company to gain a clear understanding of who we are, what we are, and what we stand for as a brand, which has allowed us to be more aligned as a company.

How did Beyond Definition perform from a project management standpoint?

We’ve done a lot of different things with them, and we’ve never had a budget issue. In fact, we’ve been very satisfied with their services because they’re transparent about their progress and challenges. We use Trello, Slack, Basecamp, Google, and other tools to keep track of the work they're doing, and we mainly communicate through phone calls.

What did you find most impressive about them?

Their team understands our brand and culture so they have great suggestions for the project. On top of that, they research a lot so that our voice could really speak to our target audience. Moreover, they adapt to our needs. In fact, they came to our location in order to delve deep into how we work and understand how to get us the best brand that matches our culture.

Are there any areas they could improve?

No, I don’t think they have any areas to improve. They’ve been very flexible so I don’t have anything to critique.

Do you have any advice for potential customers?

Spend time with Beyond Definition face-to-face. I’m a big fan of building a team up — spending time with them outside of work will help you establish a good relationship and deliver the results that you’re looking for.

We've been a profitable restaurant since day one, and guests' compliments and reviews show that they appreciate our cohesive branding and unique ambiance. Our website functions correctly and materials are updated upon request as we continue to evolve and grow our concept. We have referred many clients to Beyond Definition over the past 5 years and they have also extended rave reviews.

The team offered sound advice and kept in contact via email, in-person meetings, and by phone. They navigated our challenges, introduced us to ideas that were beyond what we thought possible, and educated us on current trends that would quickly capture our guests' attention. Most importantly, they took two people with disparate ideas and were able to handle our differences of opinion with tact, diplomacy, and humor, always arriving at a viable - and successful - compromise!

Even though they were working with numerous companies who were more high-profile than our restaurant, they always made us feel as though our project was the most important one. They were philanthropic and honest, quickly earning our trust. No. And I'm not saying that just to be nice - they did everything we needed and more, and we never had a complaint. We would hire Beyond Definition again in a heartbeat!

We initially sought their support for a large photo shoot that we had to conduct to capture portraits of the service members and enlisted officers, whose profiles would be featured on the promotional materials. Beyond Definition then produced all the physical campaign materials, including pamphlets, posters, touch cards, and flyers. 

They also aided our rebranding efforts by updating our logo, slogan, and campaign tagline. Additionally, they helped us determine our target audience and redesign our website and social media pages in line with our branding for the campaign.

Beyond Definition’s campaign deliverables were well-received by our client’s organization and its senior leaders. The strength of their branding work has greatly impacted the importance of the campaign’s message on sexual assault. In fact, their work is still widely used across the organization’s platforms to this date.

When I worked with Beyond Definition, I was the chief of party of Securing Water for Food Technical Assistance Facility. I’m currently the project director for the United States Agency for International Development (USAID)’s Partnerships Incubator, a $14 million incubator accelerator that provides direct services to the USAID. We work with missions and offices in Washington, DC in providing assistance to organizations to improve the way they work with partners.

What challenge were you trying to address with Beyond Definition?

We hired them to create a website called water energy for food project. They also helped us set up our branding identity for a global program in addition to developing other materials.

SOLUTION

What was the scope of their involvement?

We had meetings during the beginning of our partnership to establish what we needed for the project. They also spearheaded team meetings to present their creative ideas. After that, Beyond Definition built our WordPress website which was for a new global program that was being established to focus on water and energy issues worldwide. The grand challenge called for innovations throughout the world.

They also supported us with their branding services, and they specifically focused on fine-tuning our messaging, building our standard color palette and logo, and developing branded resources for the project. Some of their deliverables were brand identity guidelines, newsletters, and business cards.

We worked with five people from Beyond Definition, but we primarily worked with their account executive to arrange our meetings. We also interfaced with other people on an as-needed basis.

How did you come to work with Beyond Definition?

We put together a competitive process where we put out an RFP and processed responses of various vendors who applied for the work. Since this particular project was new, we didn’t have a very large amount of money. Despite that, we still wanted to work with a reputable agency, and at the same time, stay within our budget.

In the end, Beyond Definition was one of the companies that applied, and they submitted an outstanding proposal. Above all, they had very clear evidence that they could do the kind of work that we needed, and they gave us great confidence that they could accomplish everything.

We worked together from April–June 2019.

What evidence can you share that demonstrates the impact of the engagement? 

They finished the project in record time, and it was a miracle that I was the only person in my organization working with them — I felt a very strong sense of pride that we were able to accomplish all the deliverables. We finished the website in six weeks, and it was pretty phenomenal.

During the engagement, we had three funding partners, so the review and approval process was complicated. Despite that, Beyond Definition managed to impress our funding partners with their impressive and speedy work. They didn’t think it could be done, but they did it.

How did Beyond Definition perform from a project management standpoint?

We had a time constraint because we were going to a big event and the site needed to be ready. During that timeframe, I also had a scheduled vacation, but still ended up working during my break. It was a great thing that Beyond Definition was able to adhere to our tight timelines because they had one of the most solid production processes I’d seen from an agency.

We decided upfront to stick and honor our timeline, and we made it clear to everybody that we had a high-stakes participation project. With our collective wisdom and efforts, we took out any element that would cause variability in our ability to deliver the project. We also had in-person meetings before COVID-19, and as the partnership progressed, everything was through email and phone calls.

What did you find most impressive about them?

Beyond Definition delivered high-quality and creative outputs. On top of that, they had good customer service.

Are there any areas they could improve?

The pain points originated from my own project design because I had to consider the pricing of the project versus the amount of work I needed to do. Since there was no wiggle room, my attention to detail had to be at its peak. Overall, my struggles were more about how much money I had to put into the equation, so I had to make precise decisions and I couldn’t make any changes in the framework. As for any struggles related to Beyond Definition, I had none.

You need to tap into Beyond Definition’s creative genius. If you’re interested to work with a company that can get under the hood of your business and understands what your business issues are, you have to work with their team. Every time I work with them, their attention to our business issues has been purposeful and organized. They’re also a partner you can rely on in producing graphic designs.

I’m the President and CEO of Global Business Alliance. We are a trade association in Washington, D.C. and our members encompass about 200 US operations of large, international companies. We are principally a lobbying organization.

What challenge were you trying to address with Beyond Definition?

For 30 years, we’ve been known as the Organization for International Investment, but, for a variety of reasons, we thought that it was important to change our name. We brought in Beyond Definition to help us come up with a new, collectively agreeable name that would serve all of our different purposes.

SOLUTION

What was the scope of their involvement?

Beyond Definition did some initial research on how our previous name was perceived by stakeholders in the market and in the Washington, D.C. community. 

From there, they did a number of workshops with our team to hone in on how we want to be perceived as an organization and what challenges we felt our old name faced. They also interviewed some of the people on our board, spending a good few months doing a lot of one-on-one conversations. Beyond Definition was very keen to get our and our stakeholders’ input to know exactly what we were looking for.

The team then developed and presented a series of suggestions for our names, gauging our feedback to refine it for the following round of propositions. We also conducted a workshop focused solely on imagery where we were presented with five different logos. We gave our feedback and Beyond Definition came back with iterations. 

When we finally narrowed down to our choices, Beyond Definition helped us prepare for the board meeting where these would be discussed. They did a presentation for our executive committee.

Mark (President) was our main point of contact, along with another member of their team. There was also another person who handled the logo design. They brought in other people as needed.

Our communications department was the ones to put out the RFP and approach different firms before bringing Beyond Definition forward. I interviewed them and chose them among two other firms.

It was a six-month process that lasted from mid-2019 until the end of the year.

What evidence can you share that demonstrates the impact of the engagement?

I’m extraordinarily pleased with Beyond Definition’s work. We’ve gotten wonderful feedback about our name change, and it was everything we were shooting for. In some ways, it seems like an obvious name, but we hadn’t thought of it at the time. Beyond Definition was able to provide a quantitative and qualitative rationale as to why our new name is fit for us. 

The team really held our hand the whole way. They had a lot of experience with trade associations, so they knew how to bring the concept to the board. They were super flexible and a tightly knit team. We felt like we were getting an individualized service, as though we were the their most important client. 

How did Beyond Definition perform from a project management standpoint?

Beyond definition set and kept to a timeline. They managed my expectations really well and finished within the time period that we had set in the beginning. 

What did you find most impressive about them?

Beyond Definition is a super creative group. I would say that the highlight of their service was how smooth the process was. They were communicative and left no room for surprises, which is a problem I sometimes encounter with other consultants.

I can’t think of anything.

Participate in each one of the team’s processes. I had initially wanted to skip some of the research, but Beyond Definition convinced me not to. Each aspect of it was really important, and they held my hand through all of it.

I’m the CEO of AMPP, a large non-profit engineering organization for those in the coatings and corrosion prevention industry.

We needed their branding expertise for the new organization that we were building.

What was the scope of their involvement?

Beyond Definition’s initial deliverable for us was a new name for our global organization. We needed a brand name that represented our global work and the different cultures and languages that we catered to. Our new organization was a combination of two groups that we approved the merger of, so it was important to bridge every gap and take every trend, technology, and organizational factor into account. 

Additionally, Beyond Definition’s team developed our new customer value proposition. They worked with one of our committees comprised of 12–14 members to discuss every branding-related initiative, and several design iterations were then sent back and forth for reviewing and approval.

We were in contact with Beyond Definition’s CEO and project manager, and we worked with 4–5 graphic and brand designers.

Beyond Definition’s team was recommended to us by an organization that we were working with. We shortlisted around 15 teams that we could possibly collaborate with before narrowing it down to three service providers. We ended up choosing Beyond Definition’s team as they met all our qualifications and went through our bid process despite initially being recommended.

The project ran from June–December 2020.

What evidence can you share that demonstrates the impact of the engagement?

We were surprised by the positive results delivered by Beyond Definition. At the beginning of our engagement, we didn’t really set our expectations too high as we’ve worked with other agencies that failed to meet those in the past.

With Beyond Definition’s work, we received great feedback from our partners in the industry, our internal staff, and customers — that was our key metric for success. On top of that, they delivered everything on time and with great quality. I could say that their team definitely amazed us every step of the way — Beyond Definition more value than what they signed up for.

We mainly communicated via email. Beyond Definition had a systematic project management approach. The members were on the same page when it came to following deadlines and providing timely project updates.

What did you find most impressive about them?

Beyond Definition was a professional team that handled our project well. Our goal was to create a bold website that matched the image of the organization -- bold, forward-thinking, efficient in both content and navigation -- that provided creative ways to display a variety of content styles, ways to pull in video and audio, ways to connect our content logically and integrate what we had so that users would be directed to other areas of our website.

The biggest goal was to pull our conference websites into our main website -- they had always been standalone website with their own SEO and analytics. By doing this, we again could engage our conference-goers into the rest of SLAS's resources.

I had previous experience with Beyond Definition and included them in a comprehensive RFP process. They showed the creativity, attention to process and detail, and sensitivity to budget limitations that we needed to accomplish the project.

RESULTS & FEEDBACK

Can you share any outcomes from the project that demonstrate progress or success?

We just recently launched the website, after many delays on OUR part (not on Beyond Definition's whatsoever). With all the changing situations resulting from the 2020 pandemic and its impact on decision-making, events, resources, and content, we ended up writing and rewriting the site content several times before launch.

How effective was the workflow between your team and theirs?

Workflow between our team and their team was excellent and by using an online project management system we were able to keep communication clear and directed efficiently.

What did you find most impressive about this company?

I was impressed with how excited everyone on their team seemed about the project. It wasn't just a job -- they all seemed very invested in the end result.

Are there any areas for improvement?

The only areas of improvement would have been on our end, to engage Beyond Definition when our web development team was running into some implementation snags.
