We worked with this team to implement Zoho Desk and Zoho CRM into our business, which isn’t exactly straightforward and needed quite a bit of custom work.

What stood out straight away was their communication – always clear, responsive, and easy to deal with. They actually took the time to understand how our business works, instead of just trying to fit us into a standard setup.

The project was delivered on time, which honestly doesn’t always happen with this kind of work. But more importantly, they got the details right. The custom functions we needed were well thought through and actually made our processes easier, not more complicated.

They definitely went above and beyond to understand our niche and make sure the system worked the way we needed it to.

Overall, really easy team to work with (Jaisika and Ankit) and I’d happily recommend them, especially if you need something a bit outside the box.

DotSquares were commissioned to design and build a bespoke cloud-based platform — the Expert Witness Gateway — to connect solicitors and expert witnesses and simplify medico-legal case management. The scope covered the full lifecycle of development, from concept validation through to live deployment and ongoing support. 
Key deliverables included: 

• Discovery & Planning: Translating our initial idea into a structured, fully formed project plan with technical specifications tailored to the legal and medico-legal industry.
• Multi-portal System: Development of separate portals for solicitors, experts, and administrators with role-based permissions.
• Case Management Tools: End-to-end workflow for creating, assigning, and managing legal cases (family, criminal, civil, clinical negligence).Visibility rules to ensure GDPR compliance (e.g., anonymisation of client data at the right stages). 
• Expert Profiles & Fee Structures: Customisable expert profiles including specialties, CV uploads, regulatory registrations, and dynamic fee structures by case type.
• Quoting & Invoicing: Automated quote generation (with mark-ups applied), invoice breakdown assignment, and solicitor-side allocation of fees across firms.
• Secure Document Management: Upload, storage, and exchange of sensitive case files (including DICOM imaging for radiology), with real-time notifications logged in a case timeline.
• Communication Features: Built-in messaging/chat functions to allow solicitors and experts to communicate securely and maintain a full audit trail.
• Diary & Calendar Integration: Synchronised calendars for deadlines, assessments, meetings, and court attendances with reminders.
• Admin Oversight Tools: Full case tracking dashboards, user management, and reporting functionality for monitoring platform activity and financials.
• Reassignment & Continuity Processes: Ability to reassign lead solicitors or experts mid-case and to manage case closures with appropriate safeguards.
• Payments & Compliance: Integration with Stripe for secure payments, ensuring expert fees are paid within 30 days, supported by trust account arrangements for privately funded cases.  

The implementation was phased, with Stage 1 focusing on the core case and profile management features, and further phases already in progress to expand functionality and integrate marketing tools.

• Operational Efficiency: Processes that previously required multiple emails and manual tracking (case allocation, quote preparation, fee approvals, invoice breakdowns) have been streamlined into a single workflow, reducing administrative overhead for both solicitors and experts.
• Compliance Achieved: The system was built with UK GDPR, Civil Procedure Rules Part 35, Family Procedure Rules Part 25, and Criminal Procedure Rules Part 19 compliance in mind — giving solicitors and experts confidence that engagement is legally robust.
• Improved Transparency: Automated quoting and invoicing functions (including fee breakdowns and 30-day payment terms) have created a clear, auditable financial process .

They consistently delivered items on schedule, and when challenges arose (for example, where a legal process required adjustments to the workflow), the team were proactive in suggesting solutions rather than simply waiting for instructions. Their responsiveness to our needs was impressive: they listened carefully, quickly understood the unique aspects of the medico-legal industry, and adapted the platform to ensure it met both solicitor and expert witness requirements.

The use of structured timelines, staged deliverables, and collaborative discussions meant we always knew where the project stood. Importantly, they struck the right balance between guiding us with technical expertise and respecting our vision for the Gateway.

on optimizing the syllabi and event features while ensuring continuity for users.

o User (Students): Users will be able to search for courses, syllabus materials, and other
educational resources.
o Sub-Admin (University Members or Professor): Sub-admin will be able to manage syllabi,
events & seminar according to their access provided by the Admin.

The mathematics department of Temple University has hired Dotsquares to recreate two functionalities of our former website, which was being decommissioned by the university. Specifically, we needed an event management system that would accommodate conference organization, as well as 10 seminars run by the department and organized by various students and faculty, and a syllabus creation system linked to a syllabus database. Both features required management of large number of users with dynamically changing teaching assignments and roles. The company has delivered a fully functional Drupal-based system with no loss of features in both functionalities compared to the old one. The Dotsquares team consisting of Divya, Kamlesh, and Ritesh was extremely responsive to all feature requests and questions, has conducted real time Microsoft Teams sessions with us to make sure that every feature works properly and to customer's satisfaction. Each feature or modification request was accommodated swiftly and precisely. In preliminary testing the finished system was stable and responsive.

The company has not asked a single question before going ahead with implementation. We would have preferred the developers ask what the customer wanted before they implement the interface. The communication mode was customer describing desired changes, followed by implementation, until the resulting system conformed to most customer requirements.

I was very satisfied in general with all areas. Some tiny details in the implemented website could have been better, but given the short timeframe this is to be expected, and these small improvements will be easy for our in-house team to make.
