All students and employees are to send and receive school communications only through BYU-provided email accounts. This helps us comply with federal regulations (FERPA) and internal security practices.
Standard Email Address Format
The standard format for primary employee email addresses is preferredfirstname.lastname@byu.edu. This format is used for new email accounts, helping ensure consistency across university systems.

How do I sign in to my email account?
Your username is your Net ID plus “@byu.edu” (netid@byu.edu). Your password is your BYU account password—the one you use to sign in to other systems, such as MyBYU.
You can connect your email to the Outlook app on your computer or mobile device, or you can sign in to Outlook online at https://outlook.office365.com/

What types of email communications must be sent to @byu.edu addresses? Are there exceptions?
The following is a partial list containing a few examples of email communications that must only be sent to @byu.edu addresses as well as exceptions for those who don’t have BYU email:
Information about coursework through Learning Suite and other LMS platforms like Canvas must be sent to BYU email addresses.
Notifications related to student finance or other aspects of student life must be sent to BYU email addresses.
Faculty must communicate to their students through approved, campus-provided email accounts and not to or from personal addresses.
Communications destined for non-BYU users (pre-admitted students, alumni, contractors, etc.) can be sent to personal addresses as these users don’t have a campus-provided email account.

Can I auto-forward all the messages from my BYU email account to a personal email?
Auto-forwarding of all email messages from a campus mailbox to an external account (Gmail, MSN, Yahoo, etc.) is not permitted.

Can I get a shared email account for a BYU club or group, separate from my personal email account?
Yes! There’s a form to request a new mailbox at support.byu.edu. One of the options is a Shared Mailbox, which allows multiple people to have access to log into the account and send messages. Each user signs in with their NetID and NetID password, just like a personal account. This can be especially helpful if membership of the group changes frequently.

Do I need to use my BYU email address to send messages to my professor?
Yes. Both the emails you receive from BYU groups and employees as well as the university-related messages you send should be paired to your BYU email address.

Do student academic associations or BYUSA sponsored clubs have to use a BYU email address?
Yes. Clubs should use a shared mailbox. Contact support at 801-422-4000 or it@byu.edu for more info.

Can I add my BYU email address to my Mail app on my phone?

I am a student employee on campus. Do I need to use this email address for my job?
Yes. Both your class-related communications and your BYU employment communications should come from your BYU email address.

If a student emails an employee from a non-BYU address, can the employee respond to that address?
If students sends a message from another email account, we recommend employees reply with a simple message directing them to their BYU email for a full reply, and communicate details only through the student's BYU email address.

What about opt-in lists (lists where users have submitted a request to receive messages)?
For opt-in lists (especially where there is a mix of BYU and off-campus users), personal (non-BYU) email addresses can be used.
Want to encrypt your emails sent from your BYU Exchange account? You can do this in Outlook by composing a new email and choosing Encrypt. You will find various options for encryption and security options.
Email (SPAM) filtering in BYU email accounts is handled by Microsoft 365 Defender. The Email Filtering System page provides instructions for end-users including how to access quarantined mail.
